Quotations Specialist

TPL Lighting is seeking an self-motivated, conscientious and sales-minded Lighting Quotations Specialist to join our growing team. Your experience in a quotations role within the lighting industry will allow you to hit the ground running in a professional, positive and creative work environment.

Your main responsibilities will be to quote lighting packages of various sizes and complexities in support of TPL Lighting’s sales team. If you are a highly organized individual and thrive in a deadline-driven, ambitious environment, this is a great opportunity for you.

Responsibilities:

Quotation Administration:

  • Help to manage day to day email activity through centralized quotes team email
  • Maintain active assigned project files through incoming emails, communication from Contractors, distributors, end users, sales staff and/or specifiers
  • Review incoming RFQ’s and projects for assigned files
  • Obtaining missing information or details as required to ensure a thorough understanding of each project
  • Ensure all tender documents are received, correct and up-to-date at time of closing
  • Update, maintain Contractor and Distributor accounts in Oasis
  • Maintain organized and accurate project files and folders
  • Ensures accuracy of quotations and handles negotiations of all assigned quotations and projects
  • Create, distribute and update information in Oasis based on a schedule of reports

Project Quotations:

  •  Negotiate pricing and product availability with vendors
  • Review bid materials and work with sales team to make alternate recommendations to assist with customer budget constraints
  • Prepare and provide an accurate and competitive quote to customers’ bidding project
  • Prepare competitive quotations, bid, and submittals
  • Prepare budget quotations for specifiers, end users, distributors and/or contractors as requested by and through the Sales team
  • Must be able to ensure that projects are quoted to the correct quality standards and are completed efficiently, on time and to budget

Project Follow-ups:

  • Follow-up job closing to obtain which distributor and contractor have been awarded the project
  • Engage in any required negotiations to get the job ‘off the street’
  • Review bid materials and work with sales team to make alternate recommendations to assist with customer budget constraints where applicable

Project Management:

  • Review order upon receipt to ensure accuracy for smooth hand-off to Project Coordinator
  • Develop, manage and maintain up-to-date timelines inclusive of all critical milestones, key interdependencies and resource constraint
  • Provide support; pricing, change notices, project details to Project Managers on quoted projects as required

General:

  • Create and maintain vendor relationships with lighting manufacturers
  • Cultivate relationships with industry professionals to build business
  • Follow the company policies and procedures
  • Suggest any changes to current policies and procedures that would result in improved performance
  • Maintain a professional businesslike attitude
  • Work well with colleagues, customers and suppliers

Qualifications:

  • College or University education
  • 2-5 years lighting industry experience
  • 2+ years of relevant work experience in quotations
  • Experience in sales, inside sales and/or project coordination within the Lighting Industry an asset
  • Must be familiar with Internet applications including search engines and web browsers
  • Candidates must already hold Canadian work eligibility
